==Options Dialog==&lt;br /&gt;
The Options dialog box contains various tabs that access different settings for ITrack Pro.  &lt;br /&gt;
&lt;br /&gt;
The options listed in this section are the standard ITrack Pro options seen below.  &lt;br /&gt;
Your ITrack Pro system may have additional options if you have purchased special modules.  If you need information about an option not described, please contact ISoft Data Systems at (800) 929-1829.&lt;br /&gt;

==General Information==&lt;br /&gt;
Located at the very top left of the screen, you will see three drop down menus. These menus are File, Edit and Help.&lt;br /&gt;

To open the options dialog, first click on the Edit menu. Keep holding down your mouse clicker and then release it when you have highlighted the word Options.&lt;br /&gt;
&lt;br /&gt;
Click on the General tab to bring up general information.&lt;br /&gt;
&lt;br /&gt;
There are very few times you will need to change any of the top pieces of  information in the General tab.  Whenever a new computer is added to the network, or automatic changes to the network occur, some parts of this tab must be changed.  If you need to change any of this information, it is highly recommended that you contact ISoft Data Systems technical services at (800) 929-1829 to have a technician assist you.&lt;br /&gt;
The bottom three check boxes located on the General tab are useful and can be changed without assistance.&lt;br /&gt;
&lt;br /&gt;
*&amp;#039;&amp;#039;&amp;#039;A&amp;#039;&amp;#039;&amp;#039;	If checked, a dialog box will pop up after you have saved a part from the [[Parts Screen (Pro)|Parts]] Screen, telling you the tag number.  &lt;br /&gt;
*&amp;#039;&amp;#039;&amp;#039;B&amp;#039;&amp;#039;&amp;#039;	If checked, new parts will have the print tag check box on the [[Search Screen (Pro)|Search]] Screen checked by default.&lt;br /&gt;
*&amp;#039;&amp;#039;&amp;#039;C&amp;#039;&amp;#039;&amp;#039;	Prints interchange information on invoices.&lt;br /&gt;

==Printer Settings==&lt;br /&gt;

To open options, first click on the Edit menu. Keep holding down your mouse clicker and then release it when you have highlighted the word Options.&lt;br /&gt;
This will bring up the options dialog box.  To set up your printer settings click on the Printers tab.&lt;br /&gt;
Now you can select the type of printer you will be using and where you want it to print. Click the arrow in the field next to Printer Type. This will give you a list of the different types of printing options available in ITrack. &lt;br /&gt;
&lt;br /&gt;
Let&amp;#039;s choose Invoice first. Your screen may already show Invoice because it is the first printer type listed.  Other types of printing options include Label Tag and Thermal which print part tags and Report which prints all [[Home Screen (Pro)|Home]] Screen reports in addition to some miscellaneous reports.  Most printing options are self explanatory.&lt;br /&gt;
&lt;br /&gt;
Now you can decide where to print  invoices.  You may also choose how many copies of the invoice you want printed each time.  Additionally, you may enter and edit an invoice memo that will appear on all of your invoices.&lt;br /&gt;
&lt;br /&gt;
ITrack only knows about the printers that Windows recognizes as installed.  On some versions of Windows, only printers installed as â€œlocal printersâ€ will be available on ITrack.  Keep in mind that remote machines can be installed as â€œlocalâ€ printers.  If the printer you need is not listed in ITrack but is listed in Control Panelâ†’Printers in Windows, simply create a copy of that printer installed as â€œlocal printer.â€  For assistance setting up printers, call ISoft Data Systems at (800) 929-1829.&lt;br /&gt;
&lt;br /&gt;
Now let&amp;#039;s say we want to set up a printer for reports. ITrack automatically stores printer information. This means that after you are done with printer information for invoices, you can just go to the next type of printing without having to click any buttons. &lt;br /&gt;
&lt;br /&gt;
Click on the drop down list and select Report. Then set the Printer Name for Report. If you go back to Invoice, you will see that the Printer Name was saved. If you are done with the Options box for now, be sure to click OK to save all of the information you have entered so far.&lt;br /&gt;

You can now edit the current tax information, or add new tax items.&lt;br /&gt;
===Add New Tax Item===&lt;br /&gt;
To add a new tax item, click on the Add button.&lt;br /&gt;
This will bring up a small Tax Item box and allow you to enter in the new tax item.  At this point you can also add a second tier tax.  A second tier tax is used when a different tax rate is used for totals that are over a certain dollar amount.    (i.e.: On a total of $1,500, the first $1,000 is taxed at 6% but the next $500 is taxed at a 4% rate.)&lt;br /&gt;
When you are done with the Tax Item box, click OK.  Your new tax will now show up with the other taxes listed.&lt;br /&gt;
===Editing Tax Items===&lt;br /&gt;
To edit a tax item, click on the tax item you need to edit.  The text on the Edit button will then go from grey to black.  You may now click the Edit button to bring up the Tax Item box, just like when you clicked the Add button.  Now you can make changes and click OK to save.&lt;br /&gt;

When you click the Add or Edit buttons, it brings up a small box that allows you to set specifications and a name for the payment type.&lt;br /&gt;
*&amp;#039;&amp;#039;&amp;#039;A&amp;#039;&amp;#039;&amp;#039;	Allows users to type in a check number or authorization number at the time of sale for 	this payment type.&lt;br /&gt;
*&amp;#039;&amp;#039;&amp;#039;B&amp;#039;&amp;#039;&amp;#039;	Newly created customers will be allowed to use this payment method.&lt;br /&gt;
*&amp;#039;&amp;#039;&amp;#039;C&amp;#039;&amp;#039;&amp;#039;	Cash-Only customers will be unable to use this method.  Also, some reports will lump these payments together as unpaid.&lt;br /&gt;
*&amp;#039;&amp;#039;&amp;#039;D&amp;#039;&amp;#039;&amp;#039;	Existing customers will be set to use this method.  If this is unchecked, you will have to manually add permissions to each customer allowed to use this method.&lt;br /&gt;

When you are finished adding or editing the information, click OK to save.  Any payment methods you have saved in the Payment Methods tab will show up as a Payment Method option on the Sales screen.&lt;br /&gt;

The bottom three check boxes located on the General tab are useful and can be changed without assistance.&lt;br /&gt;

This will bring up the options dialog box.  To set up your printer settings click on the Printers tab.&lt;br /&gt;
Now you can select the type of printer you will be using and where you want it to print. Click the arrow in the field next to Printer Type. This will give you a list of the different types of printing options available in ITrack. &lt;br /&gt;
&lt;br /&gt;
Let&amp;#039;s choose Invoice first. Your screen may already show Invoice because it is the first printer type listed.  Other types of printing options include Label Tag and Thermal which print part tags and Report which prints all [[Home Screen (Pro)|Home]] Screen reports in addition to some miscellaneous reports.  Most printing options are self explanatory.&lt;br /&gt;
&lt;br /&gt;
Now you can decide where to print  invoices.  You may also choose how many copies of the invoice you want printed each time.  Additionally, you may enter and edit an invoice memo that will appear on all of your invoices.&lt;br /&gt;
&lt;br /&gt;
ITrack only knows about the printers that Windows recognizes as installed.  On some versions of Windows, only printers installed as â€œlocal printersâ€ will be available on ITrack.  Keep in mind that remote machines can be installed as â€œlocalâ€ printers.  If the printer you need is not listed in ITrack but is listed in Control Panelâ†’Printers in Windows, simply create a copy of that printer installed as â€œlocal printer.â€  For assistance setting up printers, call ISoft Data Systems at (800) 929-1829.&lt;br /&gt;
&lt;br /&gt;
Now let&amp;#039;s say we want to set up a printer for reports. ITrack automatically stores printer information. This means that after you are done with printer information for invoices, you can just go to the next type of printing without having to click any buttons. &lt;br /&gt;
&lt;br /&gt;
Click on the drop down list and select Report. Then set the Printer Name for Report. If you go back to Invoice, you will see that the Printer Name was saved. If you are done with the Options box for now, be sure to click OK to save all of the information you have entered so far.&lt;br /&gt;

To add a new tax item, click on the Add button.&lt;br /&gt;
This will bring up a small Tax Item box and allow you to enter in the new tax item.  At this point you can also add a second tier tax.  A second tier tax is used when a different tax rate is used for totals that are over a certain dollar amount.    (i.e.: On a total of $1,500, the first $1,000 is taxed at 6% but the next $500 is taxed at a 4% rate.)&lt;br /&gt;
When you are done with the Tax Item box, click OK.  Your new tax will now show up with the other taxes listed.&lt;br /&gt;
==Editing Tax Items==&lt;br /&gt;
To edit a tax item, click on the tax item you need to edit.  The text on the Edit button will then go from grey to black.  You may now click the Edit button to bring up the Tax Item box, just like when you clicked the Add button.  Now you can make changes and click OK to save.&lt;br /&gt;
==Company Information==&lt;br /&gt;

*&amp;#039;&amp;#039;&amp;#039;C&amp;#039;&amp;#039;&amp;#039;	Cash-Only customers will be unable to use this method.  Also, some reports will lump these payments together as unpaid.&lt;br /&gt;
*&amp;#039;&amp;#039;&amp;#039;D&amp;#039;&amp;#039;&amp;#039;	Existing customers will be set to use this method.  If this is unchecked, you will have to manually add permissions to each customer allowed to use this method.&lt;br /&gt;

From this screen you will be able to monitor all of your information about your vendors. From the Vendor List Screen you will be able to add, edit, delete and enter information about vendors. To get to the screen from the Main Menu, click on Vendor List. &lt;br /&gt;

==Searching for a Vendor==&lt;br /&gt;
To search for a vendor, first click on Vendor List from the Main Menu or the Open Windows list.  This will bring up the Vendor List Screen.&lt;br /&gt;
&lt;br /&gt;
At the top of the screen is a drop down list which will show the default search of Smart Search.  By clicking on the down arrow in the list, you will see other search options such as Phone Number, Company Name, and City. &lt;br /&gt;
The vendor database can be searched using any of these criteria, so it isn&amp;#039;t a problem if you don&amp;#039;t remember the name of the company, so long as you remember something about the vendor.&lt;br /&gt;
The next field allows you to specify what you want the search to find in regards to the type of search you selected. &lt;br /&gt;
&lt;br /&gt;
After deciding on your search criteria, type the keywords into the blank field located to the right of the middle of the screen.&lt;br /&gt;
Next hit the enter key on your keyboard or click the Search button on your screen. This will bring up all of the vendors that fit your search request.&lt;br /&gt;

If you want to see your entire vendor database, simply click on the Show All button located to the right of the Search button. If you are viewing multiple vendors, you can sort them in a variety of ways. &lt;br /&gt;
&lt;br /&gt;
By clicking on a specific field near the top of the screen, you can sort the customers by that particular type. All fields will sort alphabetically. For example, if you click the Contact field, names that start with â€œAâ€ would appear towards the top. By clicking Contact again, the results will sort in reverse alphabetical order so the names that start with â€œAâ€ would appear towards the bottom.&lt;br /&gt;
&lt;br /&gt;
You can choose the order of your columns so that the most important information is easily viewable.  Simply click and drag and column to have it place where you want it.  ITrack will remember your column order.&lt;br /&gt;
&lt;br /&gt;
By highlighting a vendor, you can then choose to edit, delete or buy from that vendor by selecting the corresponding button located at the bottom of the screen.&lt;br /&gt;

If you are viewing multiple vendors, you can sort them in a variety of ways.  By clicking on a specific field near the top of the screen, you can sort the customers by that particular type. All fields will sort alphabetically. For example, if you click the Contact field, names that start with â€œAâ€ would appear towards the top. By clicking Contact again, the results will sort in reverse alphabetical order so the names that start with â€œAâ€ would appear towards the bottom.&lt;br /&gt;

==Entering New Vehicles==&lt;br /&gt;
Clicking on Vehicles in the Main Menu will bring up the Vehicle Management Screen. From this screen you will be able to enter all kinds of information about vehicles.&lt;br /&gt;

Note: ITrack includes numerous fields to track many aspects of your inventory and your business.  Not all fields are required.  Fill out the information you deem necessary and save at any time.  If you are missing required information, ITrack will notify you with a pop up box.&lt;br /&gt;

==Basic Tab==&lt;br /&gt;
As you can see, the screen opens on the Basic tab. To create a vehicle, enter the VIN number for the vehicle.  ITrack will automatically fill out several of the fields for you based on VIN information.&lt;br /&gt;

At the top of the screen is a field called Tracking #. You may assign your own tracking numbers to vehicles if you wish. For example, you may want the tracking number to contain information on the vehicle such as type.  Please note that tracking numbers can include alphabetical characters.  If you don&amp;#039;t want to enter a custom tracking number, ITrack will automatically assign a sequential number for you.&lt;br /&gt;

==Advanced Tab==&lt;br /&gt;

After you have finished entering all of the information under the Basic tab, click on the Advanced tab to enter more information about the vehicle.&lt;br /&gt;

The Advanced tab allows you to enter images and attachments that will be associated with the vehicle. You may enter an unlimited number of images and attachments for each vehicle. Click the Add button next to Images or Attachments to access particular file. Then select the file you want to add.  Click the Open button to attach the file.&lt;br /&gt;
&lt;br /&gt;
If you have entered images and/or attachments, you will be able to see a preview of the file. Now you can either add more files or delete files. If you have entered multiple files, click on the file you want to view and then click the View button to see a preview. Once the vehicle has been saved, you can click the Email button to send a picture of the vehicle to potential customers.&lt;br /&gt;

Note: If you don&amp;#039;t want to enter information in any tabs other than Basic, just click Save &amp;amp; New or Save &amp;amp; Close, both located in the upper right.  Or, if you want to enter parts from the vehicle, click the Parts From Teardown button in the lower right corner.&lt;br /&gt;

==Info Tab==&lt;br /&gt;

The completed Info tab will have information about who you bought the vehicle from, title status on the vehicle, and other information about where you got the vehicle.&lt;br /&gt;

==Costs Tab==&lt;br /&gt;
Next is the Costs tab. From here, you can enter and track all of the costs associated with a vehicle.  First, using the section located at the bottom of the screen you can create a new cost. &lt;br /&gt;
Here you can select your type of cost by clicking on the arrow to bring up the drop down menu.&lt;br /&gt;
Fill out the rest of the information for the type of cost. Click the box next to CGS if you want to have the price factor into the cost of goods sold. &lt;br /&gt;
When you are satisfied with the information, click on the &amp;quot;Create New&amp;quot; button. The cost item will then show up on the screen.&lt;br /&gt;

To update an existing cost, simply select the cost in the list and the information will show up in the fields at the bottom.  Make any changes that need to be made and click the &amp;quot;Update&amp;quot; button.&lt;br /&gt;

The Performance tab will start out blank when you enter in a new vehicle.  Information about parts will show up once you enter parts for the vehicle.  The first section shows available parts you still have in stock for the vehicle.  The next section shows which parts you have sold from the vehicle.&lt;br /&gt;

On the right side of the screen is the Totals section.  It shows valuable information including how many parts you have sold from this vehicle and the total dollar amount you have sold from the vehicle.&lt;br /&gt;

The final tab on the Vehicle Management Screen is the Q And A tab.  This tab allows you to answer questions you want asked about your vehicles.  To set questions for vehicles, go to Edit â†’ Parts List and then click on the Teardown Sheets tab.  Please reference your administration section of the manual for further information regarding setting up questions for vehicles.&lt;br /&gt;

Once you have saved questions, they will show up in the Q And A tab and you can answer them.  You many want to ask questions regarding the cleanliness of the vehicle, how it runs, or the oil pressure.  You can also set specific questions to certain makes and models of vehicles.&lt;br /&gt;

Now that we have finished entering information about the vehicle, we need to enter parts. If you want to enter parts for this vehicle now, click the Parts From Teardown button located in the bottom right of the screen. If you want to save the vehicle and enter parts for it later, click either the Save &amp;amp; New button (if you want to enter more vehicles) or the Save &amp;amp; Close button (if you are finished entering vehicles). Now that you are done entering information about a vehicle from the Vehicle Management Screen, click on the Parts From Teardown button located at the bottom of the screen. When you click on this button, the following pop up message will appear. Click Yes if you want to continue to the parts teardown or No if you want to return and enter more information on the vehicle.&lt;br /&gt;
&lt;br /&gt;
When the &amp;quot;Parts from Teardown&amp;quot; dialog appears you can go through the list and click the box next to the parts you want to enter. In the L/R column, you can select if you have the left, right or both sides of a certain part, for example, front doors.  Use the scroll bar at the bottom to show more fields.   Some of the other fields include pricing options such as retail, wholesale, and core pricing.  You may wish to fill out a variety of fields so you will have information saved about the parts such as descriptions and pricing.&lt;br /&gt;
When you are finished selecting the parts from teardown for the vehicle, click the OK button to save the parts into your inventory.&lt;br /&gt;

Now, when you go back to the vehicle and look at the Performance tab, you will see the parts you entered for the vehicle.  When you first enter the parts, they will show as available.  Once you sell parts, they will show in the Sold section right below the Available section.&lt;br /&gt;

To search your inventory for parts or vehicles, click the Search button from the Main Menu. From the Search Screen you can search for either parts or vehicles. When the screen opens, it will automatically be on the Search For Parts tab.&lt;br /&gt;

You can use wild card symbols to help you find parts.  The * can be used in place of any character or multiple characters.  Example:  F* in the Make field would find Freightliner or Ford.  The ! means â€œnotâ€ when used in a search.  Example:  !Ford would give you all makes other than Ford.  The ? allows for a single wildcard character.  Example:  Cat 3116? would bring up Cat 3116E and Cat 3116T.&lt;br /&gt;
&lt;br /&gt;
The @ status allows you to search for parts that are available or on hold.&lt;br /&gt;
&lt;br /&gt;
To search for parts, enter as much information into the fields as you wish. To search by part type, either enter the part number if you know it, or use the drop down list to select a part. You may type in the part as well. Selecting or typing in a part automatically fills in the corresponding type number.&lt;br /&gt;

After you have entered in all of the search information that you want, click the Search button located near the right, upper corner of the screen. This will bring up the search results.  Double clicking on a part will bring up the part in the [[Parts Screen (Pro)|Part Management]] Screen.&lt;br /&gt;

Results will be colored differently based on the part record.  Here are some possible colors, and their meanings:&lt;br /&gt;

The Search For Vehicles tab functions much like the Search For Parts tab. The main difference is that you have different search capabilities.  When you have finished entering in the search criteria, click the Search button on the right side of the screen.  Double clicking on a vehicle from the Search Screen will bring up the vehicle information in the [[Vehicles Screen (Pro)|Vehicle Management]] Screen.&lt;br /&gt;
&lt;br /&gt;
ITrack Pro allows you to make a variety of searches, for example, you can search by dismantler to see which of your employees are the most productive. Remember to use the scroll bar at the bottom of the screen to see more information regarding your search. &lt;br /&gt;

In the example below, we did a search to see how many vehicles Robert dismantled. You can then use the scroll bar along the bottom of the screen to see more information about the vehicles Robert dismantled.&lt;br /&gt;

If you don&amp;#039;t want to have to scroll to see a certain field, just click and hold the left mouse button on the field and drag it to the new location.  For example, you need to scroll over to see who the dismantler is for a vehicle.  If this is something you will need to see often, move that field closer to the left.  ITrack Pro remembers your column orders so that they are always in the order you want.&lt;br /&gt;

Additionally, you can enter a miscellaneous item by simply typing in a description and entering a price.  All line items default to a quantity of one.  If you are selling more than one of an item, simply change the quantity.  &lt;br /&gt;

If you want to credit the sale of the item to a particular vehicle, enter the stock number of the vehicle or the tracking number into the Stock # field.  The sale price of that miscellaneous item will be credited towards the profitability of the vehicle.&lt;br /&gt;

The tax will be automatically calculated based on the tax rate you entered. Resale items will not be taxed.&lt;br /&gt;

If the customer wants to use multiple payment methods to pay for an item, click the Payments button. Now you can enter in the split payments.&lt;br /&gt;

Before finishing the sale, you may also want to choose to have ITrack print a pick list for you.  A pick list is a list of parts that are being purchased. Now, when you click the Print/Save button, the pick list will print also.&lt;br /&gt;

The Quotes Screen is where you make quotes for customers. There are two ways to access the Quotes Screen.&lt;br /&gt;
#From the Main Menu, click on Quotes.&lt;br /&gt;
#From the [[Search Screen (Pro)|Search]] Screen, highlight a part and click the Quote button located at the bottom left of the screen just right of the Sell button.&lt;br /&gt;
&lt;br /&gt;
You can decide whether you want to create a quote, delivery ticket, work order or build order. The first three are all done in a similar manner. Build orders are slightly different because you are not able to choose a customer.  Below is a description of each type.&lt;br /&gt;
&lt;br /&gt;
*Quotes:  Use this to place an item on hold for a customer for a certain amount of time and for a certain price.&lt;br /&gt;
*Delivery Tickets:  Create a quote for a customer that never expires.  This is commonly used when you are going deliver the item to the customer.&lt;br /&gt;
*Build Orders:  Build orders are used when you are going to rebuild parts.  You can attach multiple parts into a list similar to a quote.  For example, you may combine a transmission core, a rebuild kit and labor to build a new transmission that is ready to use.&lt;br /&gt;
*Work Orders:  Use this to create a quote for work you are going to do on a customer&amp;#039;s vehicle.  A work order does not expire.&lt;br /&gt;
&lt;br /&gt;
===Add Customer===&lt;br /&gt;

The price can be changed by clicking the field and typing in a new price. The tax will be automatically calculated based on the tax rate you entered. To change the tax rate, go to &lt;br /&gt;
Edit â†’ Options and then click on the Sales Options tab.&lt;br /&gt;

If you are finished with the quote, click the Save button in the lower right corner. &lt;br /&gt;
&lt;br /&gt;
To open a saved quote from the Quotes Screen, click in the Quote # field in the upper right corner of the screen.&lt;br /&gt;
&lt;br /&gt;
This will bring up the Load Quote dialog box.  From here, enter the quote you want to go to and click OK.&lt;br /&gt;
&lt;br /&gt;
Now, if you go to your [[Home Screen (Pro)|Home]] Screen, the quote will show up. Click on the appropriate tab (Quotes, Deliveries, Build Orders or Work Orders) to see that type of document.&lt;br /&gt;

Now when you do a part search, the part that we just gave a quote for will be blue instead of green.  However, the part will still be green if there is more than one of that part available (not quoted).&lt;br /&gt;

Locate your quote on the [[Home Screen (Pro)|Home]] Screen. Choose the tab that contains the type of document you are looking for (Quotes, Deliveries, Build Orders or Work Orders). Double click on the quote you want to open to bring up the quote.&lt;br /&gt;

Click on the Convert to Inv button located in the lower right corner of the Quotes Screen.&lt;br /&gt;
This will bring up a confirmation box to make sure you really want to convert the quote to an invoice.&lt;br /&gt;

The Purchase Orders Screen allows you to create purchase orders and assign them to vendors and customers you already have entered into ITrack Pro.  To open this screen, click on Purchase Orders in the Main Menu.&lt;br /&gt;

Before you can create a purchase order, you must have already entered the part you are ordering into your inventory.  When you are entering a part into inventory, you can set the minimum quantity your company should have in stock at any give time.&lt;br /&gt;
Now, when you are creating a purchase order, you can order a part by clicking the Add Item button which will bring up the [[Search Screen (Pro)|Search]] Screen.  Then you can search for the part and double click on it to add it to your purchase order.&lt;br /&gt;

You are now ready to create a purchase order from the Purchase Orders Screen.  Entering a vendor can be done in a couple different ways.&lt;br /&gt;

If there is only one vendor with that name, the information will automatically fill in when you hit the tab key on your keyboard. The Purchase Orders Screen allows you to create purchase orders and assign them to vendors and customers you already have entered into ITrack Pro.  To open this screen, click on Purchase Orders in the Main Menu.&lt;br /&gt;
==Creating Purchase Orders==&lt;br /&gt;
Before you can create a purchase order, you must have already entered the part you are ordering into your inventory.  When you are entering a part into inventory, you can set the minimum quantity your company should have in stock at any give time.&lt;br /&gt;
Now, when you are creating a purchase order, you can order a part by clicking the Add Item button which will bring up the [[Search Screen (Pro)|Search]] Screen.  Then you can search for the part and double click on it to add it to your purchase order.&lt;br /&gt;
&lt;br /&gt;
===Adding a Vendor===&lt;br /&gt;
You are now ready to create a purchase order from the Purchase Orders Screen.  Entering a vendor can be done in a couple different ways.&lt;br /&gt;
&lt;br /&gt;
# Type the entire name or partial part of a name into the Vendor field.  If there is only one vendor with that name, the information will automatically fill in when you hit the tab key on your keyboard.  If there is more than one with the name, the [[Vendor List Extension (Pro)|Vendor List]] Screen will open so you can select the correct vendor.  Double click on the one you want.  The information will transfer over to the Purchase Orders Screen.&lt;br /&gt;
# Type the vendor number into the Vendor field and then ht the tab key on your keyboard and that vendor&amp;#039;s information will be automatically filled in. ==Adding Parts==&lt;br /&gt;
There are two main reasons to add parts from this screen versus the teardown screen.  &lt;br /&gt;
&lt;br /&gt;
#The part you are entering is aftermarket or miscellaneous, you did not purchase the truck from which this part belongs.&lt;br /&gt;
#You have a part off of one of your vehicles and wish to enter in more detailed information about it than you are allowed to from the teardown screen.  For example, if you want to upload images of the part.&lt;br /&gt;
&lt;br /&gt;
Access the Part Management Screen by clicking Parts in the Main Menu.  Or, bring up the screen by clicking on the Enter Parts button in the [[Vehicles Screen (Pro)|Vehicle Management]] Screen.  Then decide which type of part you want to add: Standard, Aftermarket or Miscellaneous.&lt;br /&gt;

Some parts can be broken down into component parts, such as engine assemblies.  To break down these parts, click the Breakdown button in the lower right corner.  From here, you can tell ITrack which components you have.&lt;br /&gt;

Locations also allows you you to have a quantity of a certain part in one part of your store and more quantities in another location.&lt;br /&gt;
&lt;br /&gt;
The order of locations is important since as parts are sold, they are taken out of the highest ranked location on the list with parts available.&lt;br /&gt;

===Build Orders===&lt;br /&gt;
From the Advanced tab in the Part Management Screen you can create build orders.  Build orders allow you to combine a group of component parts to make a new part.  For example, you may combine a transmission core, a rebuild kit and labor to build a new transmission that is ready to use.&lt;br /&gt;

Click the Create New button to create a new build order.  This will open up the [[Quotes Screen (Pro)|Quotes]] Screen.  This is where you will enter in the different components to make the completed part.&lt;br /&gt;

When you have entered in all of the components, click the Save button to go back to build orders.  Your build order will now appear with the total cost of creating the new part.&lt;br /&gt;

==Selecting Parts for Drop Down Lists==&lt;br /&gt;
The Part Configuration Screen allows you to decide which parts will show up in the drop down lists on the [[Parts Screen (Pro)|Part Management]] Screen and the [[Search Screen (Pro)|Search]] Screen.    &lt;br /&gt;
&lt;br /&gt;
Click on Part Configuration in the Main Menu to open the Part Configuration Screen.  Make sure the Parts List tab is selected.  When you first install ITrack, all the parts will be checked.  You can choose to disable parts from the list that are infrequently or never used.&lt;br /&gt;
Now, when you enter or search for a part, only the parts you have checked will be displayed.  On the previous page, we unchecked hood hinge.  The image below shows the [[Search Screen (Pro)|Search]] Screen and the hood hinge is now gone.&lt;br /&gt;
==Adding, Editing, or Removing Parts==&lt;br /&gt;
The Parts List tab also allows you to add, edit, or remove parts.  On the bottom of the screen you will see these buttons.&lt;br /&gt;
It is important to remember there is a difference between removing and disabling a part.  &lt;br /&gt;
To remove a part, click on that part and click Remove.  If you ever want the part back, you must add it into ITrack.  &lt;br /&gt;
Disabling a part is when you uncheck the box  next to the name of the part.  The part will still appear in the Parts List but will not show up when you are entering parts.&lt;br /&gt;
&lt;br /&gt;
Clicking the Add button brings up the Add New Part Type box.  From here, you can enter in information about a part.  When you are satisfied with your new part, click the OK button.&lt;br /&gt;
&lt;br /&gt;
The More fields are very useful.  For some parts, ITrack already has the more fields filled out.  You can always change what the More fields contain, whether they were filled out by ITrack or blank. &lt;br /&gt;
&lt;br /&gt;
After entering information into the More fields, they will show up on the [[Parts Screen (Pro)|Part Management]] Screen.&lt;br /&gt;
&lt;br /&gt;
To edit an existing part, click on the part you wish to edit and then click the Edit button and the Edit Part Type box will appear.  Make any changes to the part and click OK when you are done.  &lt;br /&gt;
&lt;br /&gt;
If you want to delete a part from the Parts List, click on the part and then click the Remove button.  When you click Remove you will get one of two different messages.  You may get a dialog box asking you to confirm that you want to delete a part or you may get a message that the part you want to delete is in inventory.  If a part is in your inventory, you cannot delete it.&lt;br /&gt;

==Part Questions==&lt;br /&gt;
Part Questions allows you to create questions that will be asked about specific parts when   you enter them in your inventory.  This allows you to have specific information about every part type that is entered.&lt;br /&gt;
To create a part question, first select a part by clicking on it in the Parts List tab.  Next, click the Edit Part Questions button in the lower right corner.  This brings up the Questions dialog box.&lt;br /&gt;
&lt;br /&gt;
Now, click the Add button to create a question.  You can add as many questions as you would like.  Click on a question and then click the Move Down or Move Up buttons to change the order of your questions.  You may want more important questions towards the top of your list.&lt;br /&gt;
&lt;br /&gt;
When you are finished creating questions for a part, click the OK button to save.&lt;br /&gt;
Once your questions are saved they will show up in the [[Parts Screen (Pro)|Part Management]] Screen.  When you enter the part that has these questions, the questions will show up in the Q And A tab. Click in the Value field to type in the answer to you question.  Now, when your sales people look up parts, they can have access to this valuable and more detailed information about the part.&lt;br /&gt;

From the Parts List tab in the Part Configuration Screen, you can also add and edit part manufacturers.  First, click on the part you want to add manufacturers for and then click the Edit Part Manufacturers button in the lower right corner.&lt;br /&gt;
This will open up the Edit Manufacturers dialog box.  Now, you can add a variety of manufacturers that are assigned to the part.&lt;br /&gt;
Click the Add button in the lower left corner and the Add New Part Model box will open.  Fill in all of the information on the box and then click OK.&lt;br /&gt;

To remove a part, click on that part and click Remove.  If you ever want the part back, you must add it into ITrack.  &lt;br /&gt;
Disabling a part is when you uncheck the box  next to the name of the part.  The part will still appear in the Parts List but will not show up when you are entering parts.&lt;br /&gt;
&lt;br /&gt;
Clicking the Add button brings up the Add New Part Type box.  From here, you can enter in information about a part.  When you are satisfied with your new part, click the OK button.&lt;br /&gt;
&lt;br /&gt;
The More fields are very useful.  For some parts, ITrack already has the more fields filled out.  You can always change what the More fields contain, whether they were filled out by ITrack or blank. &lt;br /&gt;
&lt;br /&gt;
After entering information into the More fields, they will show up on the Part Management Screen.&lt;br /&gt;
&lt;br /&gt;
To edit an existing part, click on the part you wish to edit and then click the Edit button and the Edit Part Type box will appear.  Make any changes to the part and click OK when you are done.  &lt;br /&gt;
&lt;br /&gt;
If you want to delete a part from the Parts List, click on the part and then click the Remove button.  When you click Remove you will get one of two different messages.  You may get a dialog box asking you to confirm that you want to delete a part or you may get a message that the part you want to delete is in inventory.  If a part is in your inventory, you cannot delete it.&lt;br /&gt;

==Part Questions==&lt;br /&gt;
Part Questions allows you to create questions that will be asked about specific parts when   you enter them in your inventory.  This allows you to have specific information about every part type that is entered.&lt;br /&gt;
To create a part question, first select a part by clicking on it in the Parts List tab.  Next, click the Edit Part Questions button in the lower right corner.  This brings up the Questions dialog box.&lt;br /&gt;
&lt;br /&gt;
Now, click the Add button to create a question.  You can add as many questions as you would like.  Click on a question and then click the Move Down or Move Up buttons to change the order of your questions.  You may want more important questions towards the top of your list.&lt;br /&gt;

When you are finished creating questions for a part, click the OK button to save.&lt;br /&gt;
Once your questions are saved they will show up in the Part Management Screen.  When you enter the part that has these questions, the questions will show up in the Q And A tab. From the Parts List tab in the Part Configuration Screen, you can also add and edit part manufacturers.  First, click on the part you want to add manufacturers for and then click the Edit Part Manufacturers button in the lower right corner.&lt;br /&gt;
This will open up the Edit Manufacturers dialog box.  Now, you can add a variety of manufacturers that are assigned to the part.&lt;br /&gt;
Click the Add button in the lower left corner and the Add New Part Model box will open.  Fill in all of the information on the box and then click OK.&lt;br /&gt;

Below the Main Menu you will see an Open Windows list.  Every time you open a new screen from the Main Menu, it will show up in the Open Windows list.  This will show you which screens you have open.  You can easily switch to an open screen by clicking it in the  list.&lt;br /&gt;

Most exports do not require a date selected, but the MAS 90 export does require beginning and ending dates.&lt;br /&gt;

==Searching for a Customer==&lt;br /&gt;
Return to the Customer List Screen. You may get to this screen by clicking on it from the Open Windows section on the left side of the screen, or, if you have closed the Customer List Screen, you can open it from the Main Menu.&lt;br /&gt;
&lt;br /&gt;
At the top of the screen is a drop down list which will show the default search, Smart Search.  By clicking on the down arrow in the list, you will see other search options such as Phone Number, Type and City. The customer database can be searched using any of these criteria, so it isn&amp;#039;t a problem if you don&amp;#039;t remember the name of the company, so long as you remember something about the customer.&lt;br /&gt;
&lt;br /&gt;
The Smart Search is particularly useful as it searches for matching company or name or partial phone number or customer number all at once.  The next field allows you to specify what you want the search to find in regards to the type of search you selected.&lt;br /&gt;
&lt;br /&gt;
After deciding on your search criteria, enter in keywords into the blank field located right of the middle of the screen. In our example below, we searched for a contact containing the letter J. Then hit the enter key on your keyboard or click the Search button on your screen. This will bring up all of the customers that fit your search request.&lt;br /&gt;
&lt;br /&gt;
If you want to see your entire customer database, simply click on the Show All button located to the right of the Search button. If you are viewing multiple customers, you can sort them by a variety of ways. By clicking on a certain field near the top of the screen, you can sort the customers by that particular type. All fields will sort alphabetically. For example, if you click the State field, states that start with â€œAâ€ would appear towards the top. By clicking State again, the results will sort in reverse alphabetical order so the states that start with â€œAâ€ would appear towards the bottom.&lt;br /&gt;
&lt;br /&gt;
You can choose the order of your columns so that the most important information is easily viewable.  Simply click and drag and column to have it place where you want it.  ITrack will remember your column order.&lt;br /&gt;
&lt;br /&gt;
At the bottom of the screen you will notice two check boxes: Lookup Balances and Colorize Balances. If Lookup Balances is checked, your search results will include customers&amp;#039; account balances in the Balance column.  If it is unchecked, no balances will appear.  If the Colorize Balances box is checked, customers will appear as colors that correspond to account information.  &lt;br /&gt;
* Black:  Customer has no balance.&lt;br /&gt;
* Blue:  You owe the customer (customer has a credit).&lt;br /&gt;
* Red:  The customer owes you money and is over their credit limit.&lt;br /&gt;
* Yellow:  The customer owes you money but is under their credit limit.&lt;br /&gt;
&lt;br /&gt;
If the Colorize Balances box is unchecked, all customers will appear black.&lt;br /&gt;
&lt;br /&gt;
Unchecking both of these boxes will result in slightly faster search lookups.&lt;br /&gt;

The Print button allows you to print your current customer lookup (list).  A variety of formats are available, but the default is a report sorted by name, account number, and balance.&lt;br /&gt;

The Merge button allows you to combine duplicate customer entries into one.  First, hold down the Ctrl key on your keyboard.  Next, click on the customers you wish to merge.  Now, click on the Merge button.  A dialog will come up and you will need to select the master account (the one that will be kept).  &lt;br /&gt;

A dialog will come up asking you if you would like to proceed with the merge.  Click Yes and the accounts will then be merged. You may also print a statement by clicking on the Statement button, or apply payments for the customer by clicking on the Payments button. Or you may create a new customer by clicking on the New button in the upper right corner or close by clicking on the Save &amp;amp; Close button. &lt;br /&gt;

If you want to continue adding information about your customer, or want to check the history of this customer, the tabs following Address Info will be useful. &lt;br /&gt;

Click on the Additional Info tab located to the right of the Address Info tab. From this screen you can enter more information about the customer such as an email address, a web page address, and other important information.&lt;br /&gt;
The Option and Value fields are particularly useful. You can enter in specific things you want to know about each customer. Click Add Option to add a new question. Click the Show on Customer List Screen box if you want your new question to show up on the [[Customer List Screen (Pro)|Customer List]] Screen.&lt;br /&gt;
Then, in the Values field, answer the question you asked in the Option field. This Option will now appear on all customers&amp;#039; screens.&lt;br /&gt;

Let&amp;#039;s choose Invoice first. Your screen may already show Invoice because it is the first printer type listed.  Other types of printing options include Label Tag and Thermal which print part tags and Report which prints all Home Screen reports in addition to some miscellaneous reports.  Most printing options are self explanatory.&lt;br /&gt;
&lt;br /&gt;
Now you can decide where to print  invoices.  You may also choose how many copies of the invoice you want printed each time.  Additionally, you may enter and edit an invoice memo that will appear on all of your invoices.&lt;br /&gt;
&lt;br /&gt;
ITrack only knows about the printers that Windows recognizes as installed.  On some versions of Windows, only printers installed as â€œlocal printersâ€ will be available on ITrack.  Keep in mind that remote machines can be installed as â€œlocalâ€ printers.  If the printer you need is not listed in ITrack but is listed in Control Panelâ†’Printers in Windows, simply create a copy of that printer installed as â€œlocal printer.â€  For assistance setting up printers, call ISoft Data Systems at (800) 929-1829.&lt;br /&gt;
&lt;br /&gt;
Now let&amp;#039;s say we want to set up a printer for reports. ITrack automatically stores printer information. This means that after you are done with printer information for invoices, you can just go to the next type of printing without having to click any buttons. &lt;br /&gt;

When you are done with the Tax Item box, click OK.  Your new tax will now show up with the other taxes listed.&lt;br /&gt;

To edit a tax item, click on the tax item you need to edit.  The text on the Edit button will then go from grey to black.  You may now click the Edit button to bring up the Tax Item box, just like when you clicked the Add button.  Now you can make changes and click OK to save.&lt;br /&gt;

The Options tab is where you will search for the interchangeability of a part.  Fill in the information about the part and click the Lookup button.&lt;br /&gt;
In our example we looked up an engine for a Ford Taurus.  The results will display under Options and all of the different engines that are available for a Ford Taurus are shown. Now, when you click on the Application and Notes tabs, the information displayed will be interchangeable parts for this engine and instructions on how to install it.&lt;br /&gt;

Click on the Application tab to see different engines that are interchangeable with your part.&lt;br /&gt;
If you want to check to see if you have one of the parts in your inventory, click on that part and it will turn blue.  Now, click on the Part Search button and ITrack will search for that interchange number in your inventory.  This does not close the Interchange Screen so you can easily go back to your interchange lookup if you do not find the part. When you find the part you are going to use, select that part by clicking on it and then click on the Notes tab to see if there are any special instructions for installing the part.&lt;br /&gt;

==Group Tab==&lt;br /&gt;
The Group tab allows you to create new interchange information for parts that are not already in your interchange.  Most parts and their interchangeability are already in the system, but you may know of other interchangeable parts not in the system.&lt;br /&gt;
&lt;br /&gt;
First, click the New Group button in the lower right of the screen.  ITrack will automatically assign a new interchange number for your grouping.  Next, enter in the part information and then enter the make and model for the first vehicle that is interchangeable with this part.  You can also set a year range and side for the part. You can also click the Add From Search button to search for a part  instead of entering one manually.  You may also wish to fill in the pricing information on the right side of the screen.&lt;br /&gt;
Click the Add This button and now that part for the make and model you entered will be listed as having that interchange number.&lt;br /&gt;
Now, when you do an interchange search, the part you have grouped will show up and your new interchange information will be displayed.  In the future you can return to the Group tab and add more interchangeable vehicles to this part or remove ones that you discover are not actually interchangeable.  &lt;br /&gt;

==Selecting Parts for Drop Down Lists==&lt;br /&gt;
The Part Configuration Screen allows you to decide which parts will show up in the drop down lists on the Part Management Screen and the Search Screen.    &lt;br /&gt;
&lt;br /&gt;
Click on Part Configuration in the Main Menu to open the Part Configuration Screen.  Make sure the Parts List tab is selected.  When you first install ITrack, all the parts will be checked.  You can choose to disable parts from the list that are infrequently or never used.&lt;br /&gt;
Now, when you enter or search for a part, only the parts you have checked will be displayed.  On the previous page, we unchecked hood hinge.  The image below shows the Search Screen and the hood hinge is now gone.&lt;br /&gt;
==Adding, Editing, or Removing Parts==&lt;br /&gt;
The Parts List tab also allows you to add, edit, or remove parts.  On the bottom of the screen you will see these buttons.&lt;br /&gt;
It is important to remember there is a difference between removing and disabling a part.  &lt;br /&gt;
To remove a part, click on that part and click Remove.  If you ever want the part back, you must add it into ITrack.  &lt;br /&gt;
Disabling a part is when you uncheck the box  next to the name of the part.  The part will still appear in the Parts List but will not show up when you are entering parts.&lt;br /&gt;
&lt;br /&gt;
Clicking the Add button brings up the Add New Part Type box.  From here, you can enter in information about a part.  When you are satisfied with your new part, click the OK button.&lt;br /&gt;
&lt;br /&gt;
The More fields are very useful.  For some parts, ITrack already has the more fields filled out.  You can always change what the More fields contain, whether they were filled out by ITrack or blank. &lt;br /&gt;
&lt;br /&gt;
After entering information into the More fields, they will show up on the Part Management Screen.&lt;br /&gt;
&lt;br /&gt;
To edit an existing part, click on the part you wish to edit and then click the Edit button and the Edit Part Type box will appear.  Make any changes to the part and click OK when you are done.  &lt;br /&gt;
&lt;br /&gt;
If you want to delete a part from the Parts List, click on the part and then click the Remove button.  When you click Remove you will get one of two different messages.  You may get a dialog box asking you to confirm that you want to delete a part or you may get a message that the part you want to delete is in inventory.  If a part is in your inventory, you cannot delete it.&lt;br /&gt;

==Part Questions==&lt;br /&gt;
Part Questions allows you to create questions that will be asked about specific parts when   you enter them in your inventory.  This allows you to have specific information about every part type that is entered.&lt;br /&gt;
To create a part question, first select a part by clicking on it in the Parts List tab.  Next, click the Edit Part Questions button in the lower right corner.  This brings up the Questions dialog box.&lt;br /&gt;
&lt;br /&gt;
Now, click the Add button to create a question.  You can add as many questions as you would like.  Click on a question and then click the Move Down or Move Up buttons to change the order of your questions.  You may want more important questions towards the top of your list.&lt;br /&gt;
&lt;br /&gt;
When you are finished creating questions for a part, click the OK button to save.&lt;br /&gt;
Once your questions are saved they will show up in the Part Management Screen.  When you enter the part that has these questions, the questions will show up in the Q And A tab. Click in the Value field to type in the answer to you question.  Now, when your sales people look up parts, they can have access to this valuable and more detailed information about the part.&lt;br /&gt;

From the Parts List tab in the Part Configuration Screen, you can also add and edit part manufacturers.  First, click on the part you want to add manufacturers for and then click the Edit Part Manufacturers button in the lower right corner.&lt;br /&gt;
This will open up the Edit Manufacturers dialog box.  Now, you can add a variety of manufacturers that are assigned to the part.&lt;br /&gt;
Click the Add button in the lower left corner and the Add New Part Model box will open.  Fill in all of the information on the box and then click OK.&lt;br /&gt;

==Selecting Parts for Drop Down Lists==&lt;br /&gt;
The Part Configuration Screen allows you to decide which parts will show up in the drop down lists on the Part Management Screen and the Search Screen.    &lt;br /&gt;
&lt;br /&gt;
Click on Part Configuration in the Main Menu to open the Part Configuration Screen.  Make sure the Parts List tab is selected.  When you first install ITrack, all the parts will be checked.  You can choose to disable parts from the list that are infrequently or never used.&lt;br /&gt;
Now, when you enter or search for a part, only the parts you have checked will be displayed.  On the previous page, we unchecked hood hinge.  The image below shows the Search Screen and the hood hinge is now gone.&lt;br /&gt;
==Adding, Editing, or Removing Parts==&lt;br /&gt;
The Parts List tab also allows you to add, edit, or remove parts.  On the bottom of the screen you will see these buttons.&lt;br /&gt;
It is important to remember there is a difference between removing and disabling a part.  &lt;br /&gt;
To remove a part, click on that part and click Remove.  If you ever want the part back, you must add it into ITrack.  &lt;br /&gt;
Disabling a part is when you uncheck the box  next to the name of the part.  The part will still appear in the Parts List but will not show up when you are entering parts.&lt;br /&gt;
&lt;br /&gt;
Clicking the Add button brings up the Add New Part Type box.  From here, you can enter in information about a part.  When you are satisfied with your new part, click the OK button.&lt;br /&gt;
&lt;br /&gt;
The More fields are very useful.  For some parts, ITrack already has the more fields filled out.  You can always change what the More fields contain, whether they were filled out by ITrack or blank. &lt;br /&gt;
&lt;br /&gt;
After entering information into the More fields, they will show up on the Part Management Screen.&lt;br /&gt;
&lt;br /&gt;
To edit an existing part, click on the part you wish to edit and then click the Edit button and the Edit Part Type box will appear.  Make any changes to the part and click OK when you are done.  &lt;br /&gt;
&lt;br /&gt;
If you want to delete a part from the Parts List, click on the part and then click the Remove button.  When you click Remove you will get one of two different messages.  You may get a dialog box asking you to confirm that you want to delete a part or you may get a message that the part you want to delete is in inventory.  If a part is in your inventory, you cannot delete it.&lt;br /&gt;

==Part Questions==&lt;br /&gt;
Part Questions allows you to create questions that will be asked about specific parts when   you enter them in your inventory.  This allows you to have specific information about every part type that is entered.&lt;br /&gt;
To create a part question, first select a part by clicking on it in the Parts List tab.  Next, click the Edit Part Questions button in the lower right corner.  This brings up the Questions dialog box.&lt;br /&gt;
&lt;br /&gt;
Now, click the Add button to create a question.  You can add as many questions as you would like.  Click on a question and then click the Move Down or Move Up buttons to change the order of your questions.  You may want more important questions towards the top of your list.&lt;br /&gt;
&lt;br /&gt;
When you are finished creating questions for a part, click the OK button to save.&lt;br /&gt;
Once your questions are saved they will show up in the Part Management Screen.  When you enter the part that has these questions, the questions will show up in the Q And A tab. &lt;br /&gt;
Click in the Value field to type in the answer to you question.  Now, when your sales people look up parts, they can have access to this valuable and more detailed information about the part.&lt;br /&gt;
==Part Manufacturers==&lt;br /&gt;
From the Parts List tab in the Part Configuration Screen, you can also add and edit part manufacturers.  First, click on the part you want to add manufacturers for and then click the Edit Part Manufacturers button in the lower right corner.&lt;br /&gt;
This will open up the Edit Manufacturers dialog box.  Now, you can add a variety of manufacturers that are assigned to the part.&lt;br /&gt;
Click the Add button in the lower left corner and the Add New Part Model box will open.  Fill in all of the information on the box and then click OK.&lt;br /&gt;

==Quote Screen==&lt;br /&gt;
The Quotes Screen is where you make quotes for customers. There are two ways to access the Quotes Screen.&lt;br /&gt;
#From the Main Menu, click on Quotes.&lt;br /&gt;
#From the Search Screen, highlight a part and click the Quote button located at the bottom left of the screen just right of the Sell button.&lt;br /&gt;
&lt;br /&gt;
You can decide whether you want to create a quote, delivery ticket, work order or build order. The first three are all done in a similar manner. Build orders are slightly different because you are not able to choose a customer.  Below is a description of each type.&lt;br /&gt;
&lt;br /&gt;
*Quotes:  Use this to place an item on hold for a customer for a certain amount of time and for a certain price.&lt;br /&gt;
*Delivery Tickets:  Create a quote for a customer that never expires.  This is commonly used when you are going deliver the item to the customer.&lt;br /&gt;
*Build Orders:  Build orders are used when you are going to rebuild parts.  You can attach multiple parts into a list similar to a quote.  For example, you may combine a transmission core, a rebuild kit and labor to build a new transmission that is ready to use.&lt;br /&gt;
*Work Orders:  Use this to create a quote for work you are going to do on a customer&amp;#039;s vehicle.  A work order does not expire.&lt;br /&gt;
&lt;br /&gt;
===Add Customer===&lt;br /&gt;
First click the Choose Customer button to select which customer you are making a quote for. This will bring up the Customer List Screen. Conduct a search and then double click on the customer who needs a quote. This will fill in all of the customer information on the Quotes Screen.&lt;br /&gt;
&lt;br /&gt;
===Add Parts===&lt;br /&gt;
Now, we need to select the part we are quoting. There are several ways to add parts to the Quotes Screen.  You can click in the lookup field and enter one of the following:&lt;br /&gt;
&lt;br /&gt;
*Part SKU Number  &lt;br /&gt;
*Tag number prefaced by a â€œTâ€ (ie. â€œTTAG3â€)&lt;br /&gt;
*Part Model name Prefaced by a â€œPâ€ (ie. â€œPRTLO13610Bâ€)&lt;br /&gt;
*OEM Number prefaced by an â€œOâ€ (ie. â€œO12345â€)&lt;br /&gt;
*Type#-Interchange# or just Interchange# prefaced by â€œIâ€ (ie. â€œI300-1563Bâ€)&lt;br /&gt;
&lt;br /&gt;
Alternatively, you can click the Add Item button near the lower right corner of the screen. This will bring up the Search Screen. Conduct a search to find the part. Double click on the part or click the Quote button to add the part to the quote.  You may also multi-select parts by holding down the Ctrl button on your keyboard and clicking on the item to sell, then click Quote.&lt;br /&gt;
&lt;br /&gt;
Additionally, you can enter a miscellaneous item by simply typing in a description and entering a price.  All line items default to a quantity of one.  If you are quoting more than one of an item, simply change the quantity.&lt;br /&gt;
&lt;br /&gt;
===Add Price===&lt;br /&gt;
Now, we can fill in the remaining information about the quote, such as expiration date. ITrack Pro automatically sets the expiration date for quotes at two weeks from the day of the quote. You can click on the arrow to bring up a calender and choose any expiration date.  &lt;br /&gt;
&lt;br /&gt;
The price can be changed by clicking the field and typing in a new price. The tax will be automatically calculated based on the tax rate you entered. To change the tax rate, go to &lt;br /&gt;
Edit â†’ Options and then click on the Sales Options tab.&lt;br /&gt;
&lt;br /&gt;
If you are finished with the quote, click the Save button in the lower right corner. &lt;br /&gt;
&lt;br /&gt;
To open a saved quote from the Quotes Screen, click in the Quote # field in the upper right corner of the screen.&lt;br /&gt;
&lt;br /&gt;
This will bring up the Load Quote dialog box.  From here, enter the quote you want to go to and click OK.&lt;br /&gt;
&lt;br /&gt;
Now, if you go to your Home Screen, the quote will show up. Click on the appropriate tab (Quotes, Deliveries, Build Orders or Work Orders) to see that type of document.&lt;br /&gt;
&lt;br /&gt;
Now when you do a part search, the part that we just gave a quote for will be blue instead of green.  However, the part will still be green if there is more than one of that part available (not quoted).&lt;br /&gt;

==Converting a Quote to an Invoice==&lt;br /&gt;
In this section, you will learn how to convert a quote into an invoice. This does not cover how to create a quote. For information on creating quotes, please see â€œQuotes Screen.â€ &lt;br /&gt;

Locate your quote on the Home Screen. Choose the tab that contains the type of document you are looking for (Quotes, Deliveries, Build Orders or Work Orders). Double click on the quote you want to open to bring up the quote.&lt;br /&gt;
&lt;br /&gt;
Click on the Convert to Inv button located in the lower right corner of the Quotes Screen.&lt;br /&gt;
This will bring up a confirmation box to make sure you really want to convert the quote to an invoice.&lt;br /&gt;
&lt;br /&gt;

From this screen you will be able to monitor all of your information about your vendors. From the Vendor List Screen you will be able to add, edit, delete and enter information about vendors. To get to the screen from the Main Menu, click on Vendor List. &lt;br /&gt;
&lt;br /&gt;
==Searching for a Vendor==&lt;br /&gt;
To search for a vendor, first click on Vendor List from the Main Menu or the Open Windows list.  This will bring up the Vendor List Screen.&lt;br /&gt;
&lt;br /&gt;
At the top of the screen is a drop down list which will show the default search of Smart Search.  By clicking on the down arrow in the list, you will see other search options such as Phone Number, Company Name, and City. &lt;br /&gt;
The vendor database can be searched using any of these criteria, so it isn&amp;#039;t a problem if you don&amp;#039;t remember the name of the company, so long as you remember something about the vendor.&lt;br /&gt;
The next field allows you to specify what you want the search to find in regards to the type of search you selected. &lt;br /&gt;
&lt;br /&gt;
After deciding on your search criteria, type the keywords into the blank field located to the right of the middle of the screen.&lt;br /&gt;
Next hit the enter key on your keyboard or click the Search button on your screen. This will bring up all of the vendors that fit your search request.&lt;br /&gt;
&lt;br /&gt;
If you want to see your entire vendor database, simply click on the Show All button located to the right of the Search button. If you are viewing multiple vendors, you can sort them in a variety of ways. &lt;br /&gt;
&lt;br /&gt;
By clicking on a specific field near the top of the screen, you can sort the customers by that particular type. All fields will sort alphabetically. For example, if you click the Contact field, names that start with â€œAâ€ would appear towards the top. By clicking Contact again, the results will sort in reverse alphabetical order so the names that start with â€œAâ€ would appear towards the bottom.&lt;br /&gt;
&lt;br /&gt;
You can choose the order of your columns so that the most important information is easily viewable.  Simply click and drag and column to have it place where you want it.  ITrack will remember your column order.&lt;br /&gt;
&lt;br /&gt;
By highlighting a vendor, you can then choose to edit, delete or buy from that vendor by selecting the corresponding button located at the bottom of the screen.&lt;br /&gt;
&lt;br /&gt;
Clicking the Buy From button will bring up the Purchase Orders Screen. See â€œPurchase Ordersâ€ for information regarding purchase orders.&lt;br /&gt;

The Purchase Orders Screen allows you to create purchase orders and assign them to vendors and customers you already have entered into ITrack Pro.  To open this screen, click on Purchase Orders in the Main Menu.&lt;br /&gt;
==Creating Purchase Orders==&lt;br /&gt;
Before you can create a purchase order, you must have already entered the part you are ordering into your inventory.  When you are entering a part into inventory, you can set the minimum quantity your company should have in stock at any give time.&lt;br /&gt;
Now, when you are creating a purchase order, you can order a part by clicking the Add Item button which will bring up the Search Screen.  Then you can search for the part and double click on it to add it to your purchase order.&lt;br /&gt;
You are now ready to create a purchase order from the Purchase Orders Screen.  Entering a vendor can be done in a couple different ways.&lt;br /&gt;
&lt;br /&gt;
# Type the entire name or partial part of a name into the Vendor field.  If there is only one vendor with that name, the information will automatically fill in when you hit the tab key on your keyboard.  If there is more than one with the name, the Vendor List Screen will open so you can select the correct vendor.  Double click on the one you want.  The information will transfer over to the Purchase Orders Screen.&lt;br /&gt;
# Type the vendor number into the Vendor field and then ht the tab key on your keyboard and that vendor&amp;#039;s information will be automatically filled in.  If there is only one vendor with those digits, the information will automatically fill in when you hit the tab key on your keyboard.  &lt;br /&gt;
# Type in the last digits (you can choose how many, we recommend the last four) of the vendor&amp;#039;s phone number.  If there is more than one with the same last digits, the Vendor List Screen will open so you can select the correct vendor.  Double click on the one you want.  The information will transfer over to the Purchase Orders Screen.&lt;br /&gt;
# Click the Choose Vendor button to open the Vendor List Screen, then conduct a search and double click on the correct vendor.  The information will transfer over to the Purchase Orders Screen.&lt;br /&gt;
&lt;br /&gt;
Entering a customer works the same as entering a vendor.  &lt;br /&gt;
Now, we need to select the part for the purchase order. There are several ways to add parts to the Purchase Orders Screen.  You can click in the lookup field and enter one of the following:&lt;br /&gt;
&lt;br /&gt;

When you are finished adding items to the purchase order, click the Save button.&lt;br /&gt;

If you want to make sure your purchase order saved, you can view it by clicking on Vendor List from the Main Menu.  Now conduct a search for your vendor and double click on it.  Click on the Purchase Orders tab to view purchase orders for the vendor.&lt;br /&gt;

==Closing Purchase Orders==&lt;br /&gt;
Once you have obtained the items in a purchase order, you can close the purchase order.  ITrack allows you to record when you have partially received a purchase order and when you have fully received it.  &lt;br /&gt;
&lt;br /&gt;
To open an old purchase order, click next to PO # in the Purchase Orders Screen.  Enter the purchase order number you wish to open and click OK. &lt;br /&gt;
===Partial Receiving===&lt;br /&gt;
Partial receiving is when you have purchase order for a certain quantity of a part and receive less than the total listed in the purchase order.  &lt;br /&gt;
&lt;br /&gt;
In the New column of the purchase order, type in the number of items you have received.     The Received column will now reflect the number received.  Be sure to click Save when you are done to keep your changes.&lt;br /&gt;
&lt;br /&gt;
If you have only received part of a purchase order but still wish to close it, check the Force Close box in the lower right corner.  Now when you click Save, the purchase order will still close even thought the entire order is not received. &lt;br /&gt;
===Receive All===&lt;br /&gt;
To receive all parts from a purchase order, click the Receive All button.  Now ITrack will show that you have received all of the items in that purchase order.  Be sure to click Save when you are done to keep all of your changes.&lt;br /&gt;

From this screen you will be able to monitor all of the information about your customers. From the Customer List Screen you will be able to add, edit, delete and sell to customers. To get to this screen from the Main Menu, click on Customer List.&lt;br /&gt;

==Searching for a Customer==&lt;br /&gt;
Return to the Customer List Screen. You may get to this screen by clicking on it from the Open Windows section on the left side of the screen, or, if you have closed the Customer List Screen, you can open it from the Main Menu.&lt;br /&gt;
&lt;br /&gt;
At the top of the screen is a drop down list which will show the default search, Smart Search.  By clicking on the down arrow in the list, you will see other search options such as Phone Number, Type and City. The customer database can be searched using any of these criteria, so it isn&amp;#039;t a problem if you don&amp;#039;t remember the name of the company, so long as you remember something about the customer.&lt;br /&gt;
&lt;br /&gt;
The Smart Search is particularly useful as it searches for matching company or name or partial phone number or customer number all at once.  The next field allows you to specify what you want the search to find in regards to the type of search you selected.&lt;br /&gt;
&lt;br /&gt;
After deciding on your search criteria, enter in keywords into the blank field located right of the middle of the screen. In our example below, we searched for a contact containing the letter J. Then hit the enter key on your keyboard or click the Search button on your screen. This will bring up all of the customers that fit your search request.&lt;br /&gt;
&lt;br /&gt;
If you want to see your entire customer database, simply click on the Show All button located to the right of the Search button. If you are viewing multiple customers, you can sort them by a variety of ways. By clicking on a certain field near the top of the screen, you can sort the customers by that particular type. All fields will sort alphabetically. For example, if you click the State field, states that start with â€œAâ€ would appear towards the top. By clicking State again, the results will sort in reverse alphabetical order so the states that start with â€œAâ€ would appear towards the bottom.&lt;br /&gt;
&lt;br /&gt;
You can choose the order of your columns so that the most important information is easily viewable.  Simply click and drag and column to have it place where you want it.  ITrack will remember your column order.&lt;br /&gt;
&lt;br /&gt;
At the bottom of the screen you will notice two check boxes: Lookup Balances and Colorize Balances. If Lookup Balances is checked, your search results will include customers&amp;#039; account balances in the Balance column.  If it is unchecked, no balances will appear.  If the Colorize Balances box is checked, customers will appear as colors that correspond to account information.  &lt;br /&gt;
* Black:  Customer has no balance.&lt;br /&gt;
* Blue:  You owe the customer (customer has a credit).&lt;br /&gt;
* Red:  The customer owes you money and is over their credit limit.&lt;br /&gt;
* Yellow:  The customer owes you money but is under their credit limit.&lt;br /&gt;
&lt;br /&gt;
If the Colorize Balances box is unchecked, all customers will appear black.&lt;br /&gt;
&lt;br /&gt;
Unchecking both of these boxes will result in slightly faster search lookups.&lt;br /&gt;
&lt;br /&gt;

By highlighting a customer, you can then choose to Edit, Delete, Merge or Sell To a customer by selecting the corresponding button located at the bottom of the screen.&lt;br /&gt;
&lt;br /&gt;
Clicking on the Sell To button will bring up the Sales Screen.  See â€œUsing the Sales Screenâ€ &lt;br /&gt;
for information regarding sales.  &lt;br /&gt;
&lt;br /&gt;
The Print button allows you to print your current customer lookup (list).  A variety of formats are available, but the default is a report sorted by name, account number, and balance.&lt;br /&gt;
 &lt;br /&gt;
The Merge button allows you to combine duplicate customer entries into one.  First, hold down the Ctrl key on your keyboard.  Next, click on the customers you wish to merge.  Now, click on the Merge button.  A dialog will come up and you will need to select the master account (the one that will be kept).  &lt;br /&gt;
&lt;br /&gt;
&lt;br /&gt;
A dialog will come up asking you if you would like to proceed with the merge.  Click Yes and the accounts will then be merged.  Accounts not selected as master will have their information transferred to the master account in the notes section under the Additional Info tab in the Customer Information Screen.&lt;br /&gt;
